Committee Descriptions for NSES PTA

Listed in this booklet under each committee are the responsibilities of the committee as a whole.
It is the responsibility of the chairperson to:

  • Contact additional volunteers
  • Assign tasks
  • Ensure success of event
  • Be responsible for operating within budget

ALBANY SYMPHONY

  • Distribute and collect orders for Albany Symphony Family Concerts
  • Collect money, email info to symphony contact, distribute tickets
  • One time commitment in October, can be completed mostly at home

ARTS and EDUCATION

  • Investigate through teacher input and outside resources possible school programs
  • Work with school staff to schedule events
  • Assist day of the event
  • Ongoing

BANKING

  • Encourage participation
  • Ongoing

BOOK FAIR

  • Communicate w/Scholastic Books to schedule Fairs
  • Set up Book Fair materials
  • Organize volunteers
  • Twice a year, fall and spring

BUILDING LEADERSHIP TEAM

  • Work with school staff to develop and implement building goals
  • Monthly meetings

CAMP FAIR

  • Contact area summer camps using list provided
  • Solicit donations of free/reduced week of camp
  • Coordinate table and set up for event
  • Volunteer and help run raffle
  • One time event, April during Turn Off TV Week

CITY COUNCIL DELEGATE

  • Attend monthly meetings of the City Council PTA
  • Report back to NSES PTA
  • Ongoing

COMMUNITY FUNDRAISER

  • Schedule fundraising events at community restaurants (McDonalds, Applebees, Pizzeria Uno)
  • Distribute information to students and staff
  • Solicit staff volunteers and volunteer at event
  • 3-4 events a year

EARTH DAY EVENT

  • Plan activities related to Earth Day
  • Work with Turn off TV Week team to publicize event
  • One time event

ENRICHMENT COMMITTEE

  • Attend quarterly meetings to solicit ideas from teacher for possible classroom/school needs
  • Organize school wide enrichment activities
  • Ongoing throughout the school year

FIFTH GRADE DANCE

  • Decorate, secure snacks
  • Supervise dance
  • Responsible for music and publicity
  • One time event in June

FIFTH GRADE GRADUATION

  • Decorate stage for event
  • Secure snacks for reception
  • Order tassels and carnations
  • One time event in June

FOUNDER’S DAY

  • Distribute nominee sheets
  • Review nominations and decide on three honorees
  • Complete write-ups on honorees
  • Order pins, flowers, and frames for certificates
  • One time event involving a couple meetings

FUNDRAISING

  • Correspond with fundraising company as needed
  • Copy and distribute fundraising packets
  • Collect and tally orders and money and submit to company
  • Coordinate pick-up of items
  • Intense commitment for a month

GENERAL MILLS BOX TOPS

  • Count and bundle Box Tops twice a year and mail to General Mills
  • Develop and implement contests to boost participation
  • Couple times a year, most can be done at home

HARVEST FEST

  • Plan night’s events including raffle, dessert auction, music, and student activities
  • November

HEALTH AND WELLNESS

  • Work with committee to set and accomplish goals
  • Meets several times a year

HOSPITALITY

  • Contact volunteers to send in refreshments for PTA meetings and other events as needed
  • Make coffee and set up refreshments for PTA meetings
  • Coordinate holiday gift for office and administration (example: fruit baskets)
  • Monthly commitment but minimal time

ICE CREAM SOCIAL

  • Collect necessary food and paper items
  • Volunteer night of event scooping ice cream
  • One time event, end  of May

ICE SKATING

  • Contact and set date with Swinburne
  • Publicize event
  • Volunteer night of event
  • Secure snacks
  • One time event, January

KINDERGARTEN MOVING UP

  • Generally first grade parent
  • Purchase refreshments for classroom “receptions”
  • Serve refreshments
  • One time event, June

MEMBERSHIP

  • Copy and distribute membership sign-up sheets
  • Attend school events to sell memberships
  • Distribute membership cards upon sign-up
  • Submit information to National PTA

NEW PARENT COFFEE

  • Get volunteers to bring in breakfast items
  • Make flyer and distribute to new parents
  • Attend and set up day of event
  • One time event, September

NEWSLETTER

  • Collect information from staff and PTA chairs to include in newsletter
  • Format information
  • 4/5 times a year, can be done at home

OPEN HOUSE

  • Coordinate PTA committees to provide PTA information at school wide open house
  • Secure refreshments
  • Decorate and volunteer night of event
  • One time event, September

PARP

  • Copy and distribute calendars for People As Reading Partners
  • Record participants, complete certificates and distribute prizes
  • 3 times a year, can be done at home

PAMP

  • Copy and distribute calendars for People As Math Partners
  • Record participants, complete certificates and distribute prizes
  • 2/3 times a year, can be done at home

PRE-K MOVING UP

  • Purchase refreshments for classroom “receptions”

  • Serve refreshments
  • One time event, June

ROOM PARENTS

  • Coordinator: Collect room parent names from teachers after Open House
  • Assign parents to specific classroom and communicate responsibilities
  • Room parent: assist teachers as needed
  • Coordinating takes place in September, room parent is ongoing

SCHOOL BEAUTIFICATION

  • Schedule and publicize seasonal school cleanups & coordinate day of event
  • Twice a year, fall and spring

SCHOOL BOARD REPRESENTATIVE

  • Attend monthly School Board meetings and report back to NSES PTA
  • Monthly meetings, can be shared

SCHOOL SIGN

  • Obtain pertinent dates from office staff/PTA officers, change school sign
  • Once or twice a month

STAFF RECOGNITION DINNER

  • Plan staff dinner including theme, invitation, food, decorations, set-up, program & favors
  • Event usually takes place early June

SUNSHINE COMMITTEE

  • Send cards and or gifts to staff for special events
  • Ongoing, can be done home

TOOLS FOR SCHOOLS

  • Copy and distribute sign up sheets in September
  • Input new registrants online
  • Investigate needs and order desired items from catalog using earned points (April)

TALENT SHOW

  • Solicit student performances and hold practice sessions during Turn Off TV Week
  • Coordinate night of event April,

VOLUNTEER COORDINATOR

  • Input volunteer information into excel computer program
  • Distribute volunteer lists to committee chairs
  • Ongoing as members join, can be done at home
